With modern cash register systems, cloud-based accounting and digital interfaces, the amount of data available at the touch of a button is growing &#8211; and so is the access of the tax authorities.   <\/p>\n\n<p><\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-was-darf-die-finanzverwaltung-eigentlich-einsehen\">What can the tax authorities actually see?  <\/h2>\n\n<p>According to Section 147 (6) AO, the tax authorities have the right to inspect all digitally stored documents that are relevant for tax purposes &#8211; such as data from financial accounting, payroll accounting, asset accounting or cash register systems.   <br\/>Depending on the type of audit &#8211; external audit, cash or VAT inspection &#8211; there are different forms of access. The administration distinguishes between three methods:   <\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Z1 &#8211; direct access:<\/strong> read-only access by the auditor to the company&#8217;s system.  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>Z2 &#8211; indirect access:<\/strong> Access with the support of the company or a service provider, e.g. through automated analysis.  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>Z3 &#8211; Data carrier transfer:<\/strong> Provision of the data in an analyzable form, for example via USB stick or file transfer.  <\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\" id=\"h-wachsende-kontrolle-aber-auch-struktur-und-klarheit\">Increasing control &#8211; but also structure and clarity  <\/h2>\n\n<p>For many entrepreneurs, this initially sounds like control. However, structured and properly documented data access also has advantages:   <\/p>\n\n<ul class=\"wp-block-list\">\n<li>It creates <strong>transparency<\/strong>,  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>reduces <strong>queries and estimates<\/strong>,  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>and strengthens confidence in the correctness of the accounting.  <\/li>\n<\/ul>\n\n<p>Modern systems &#8211; such as the DATEV online cash archive or platforms such as <em>MeinFiskal<\/em> &#8211; enable GoBD-compliant archiving and thus simplify data provision.  <\/p>\n\n<p><\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-was-unternehmen-tun-sollten\">What companies should do<\/h2>\n\n<ul class=\"wp-block-list\">\n<li>Regularly check <strong>which data processing systems<\/strong> you use.  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Test <strong>whether a data export (e.g. DSFinV-K and TAR files)<\/strong> works smoothly.  <\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Maintain regular <strong>backups<\/strong> and up-to-date procedural documentation.  <\/li>\n<\/ul>\n\n<p>A well-organized database not only protects against stress during the audit &#8211; it also signals professionalism and compliance.  <\/p>\n\n<p><\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-fazit\">Conclusion:  <\/h2>\n\n<p>Digital data access is not an encroachment on entrepreneurial freedom, but part of a modern, comprehensible tax landscape.
